# Continuity

> Backup agency agreements for business continuity, and post-drill critiques.

These tabs cover who covers your members if you cannot, and what you learned from your last drill.

## Contingency Plans

Backup agency agreements for business continuity during emergencies.

**Columns:** Agency · Phone · Administrator · Start · End

A contingency plan here is a standing agreement with another agency to take over member care if your
agency cannot deliver it — after a hurricane, a systems failure, or a staffing collapse.

| Field             | Why it matters                                  |
| ----------------- | ----------------------------------------------- |
| **Agency**        | The backup agency                               |
| **Phone** | The number you call in an emergency |
| **Administrator** | The named person who can authorize the handover |
| **Start / End**   | The agreement's validity window                 |

<Warning>
  An expired contingency agreement is worse than none, because you will believe you have cover. Check
  **End** dates as part of your emergency preparedness review, and verify the **Phone** and
  **Administrator** are still current — backup agencies change staff too.
</Warning>

## Drill Critiques

Post-drill feedback and critique records with follow-up tracking.

**Columns:** Drill · Date · Employee · Type · Follow-up

Critiques are what turn a drill from an exercise into an improvement. **Follow-up** is the field that
matters — a critique raising an issue with no follow-up recorded means the drill changed nothing.

These records also appear under [Emergency drills](/emergency/drills). Same records, surfaced where
each team works.

## Reviewing contingency arrangements

<Steps>
  <Step title="Check every agreement's End date">
    Anything within 90 days needs renewing.
  </Step>

  <Step title="Verify the contact details">
    Call the number. Confirm the named administrator is still in post.
  </Step>

  <Step title="Confirm the backup agency can still take your volume">
    Their capacity changes as their own caseload changes.
  </Step>

  <Step title="Renew and record">
    Update **Start**, **End**, and contacts.
  </Step>
</Steps>

## Working drill critiques

<Steps>
  <Step title="Collect critiques after every drill">
    From participants, not just coordinators.
  </Step>

  <Step title="Record each critique with its type">
    Group them to find the themes.
  </Step>

  <Step title="Set follow-up on anything actionable">
    A critique without follow-up is a note, not an improvement.
  </Step>

  <Step title="Close the loop before the next drill">
    Verify the follow-up happened.
  </Step>
</Steps>

<Tip>
  Recurring critique themes are good candidates for a [QAPI](/compliance/qapi) initiative — that is
  where an improvement with measured follow-up belongs.
</Tip>

## Troubleshooting

| Problem                                  | What to check                                                      |
| ---------------------------------------- | ------------------------------------------------------------------ |
| A contingency agreement has lapsed | **End** has passed. Renew before you need it. |
| The backup agency contact is unreachable | **Phone** or **Administrator** is out of date. Verify annually. |
| Drill critiques show no follow-up | **Follow-up** is blank. Assign and track it. |
| The same issue recurs at every drill | The follow-up is not addressing the cause. Open a QAPI initiative. |
