# Procurement

> Invoices and supply inventory tracking.

Procurement covers invoices and supply inventory tracking.

## Who can use it

Organization Admins and Finance Managers.

## Tabs

    Invoice records with amounts, dates, and payment status tracking.

    **Columns:** Invoice # · Status · Date · Amount

    Invoice statuses run `DRAFT`, `PENDING`, `PAID`, `OVERDUE`, `CANCELLED`, and `VOID`.

  <Accordion title="Supply Inventory" icon="package">
    Medical and office supply inventory with SKUs, quantities, and reorder points.

    **Columns:** Category · SKU · Qty · Reorder · Unit Cost · Expires

    | Field | What it drives |
    | - | - |
    | **Qty** | Current stock |
    | **Reorder** | The level at which you should reorder |
    | **Unit Cost** | Cost per unit, used for valuation |
    | **Expires** | Expiry date for date-limited supplies |

<Warning>
  Medical supplies with an **Expires** date should not be issued past it. Review expiring stock on a
  schedule rather than discovering it at the point of care.

## Managing stock

    Filter on **Expires** within your review window.
  </Step>

  <Step title="Raise the purchase">
    Record the resulting invoice on the **Invoices** tab.

    Inventory only helps if quantities reflect reality.

## Tracking invoices

## Troubleshooting

| Problem | What to check |
| - | - |
| Reorder alerts are not appearing | **Reorder** must be set on the item for it to trigger. |
| An invoice shows overdue | Its due date has passed without payment being recorded. |
| Stock counts do not match the shelf | Quantities are updated manually. Reconcile physically. |
| Procurement is missing from my sidebar | It is limited to Organization Admins and Finance Managers. |
| I expected invoices inside Finance | Invoices and supply inventory moved here. See [Finance](/finance). |
