Assets

Physical and IT asset inventory with tags, serial numbers, and valuations. Columns: Tag · Name · Type · Serial · Status · Value
Serial is what an insurer asks for after a loss, and what identifies equipment recovered after a theft. Record it at acquisition rather than trying to reconstruct it later.

Maintenance Logs

Asset maintenance records with dates, types, costs, and technician details. Columns: Date · Type · Cost · By Maintenance history matters for two reasons: it evidences that safety-relevant equipment has been serviced, and it tells you when an asset is costing more to maintain than to replace.

Adding an asset

Record it at acquisition

Set tag, name, type, serial, and value.

Confirm insurance coverage

High-value assets may need adding to a policy. See Loans and insurance.

Set the status

So it is clear whether the asset is in service.

Schedule maintenance

Add a recurring rule in Task Manager for anything needing periodic service.

Recording maintenance

Log each service

Date, type, cost, and who performed it.

Update the asset status

If the service changed whether it is usable.

Review cumulative cost

An asset whose maintenance cost approaches its value is a replacement candidate.
