These tabs cover who covers your members if you cannot, and what you learned from your last drill.

Contingency Plans

Backup agency agreements for business continuity during emergencies. Columns: Agency · Phone · Administrator · Start · End A contingency plan here is a standing agreement with another agency to take over member care if your agency cannot deliver it — after a hurricane, a systems failure, or a staffing collapse.
An expired contingency agreement is worse than none, because you will believe you have cover. Check End dates as part of your emergency preparedness review, and verify the Phone and Administrator are still current — backup agencies change staff too.

Drill Critiques

Post-drill feedback and critique records with follow-up tracking. Columns: Drill · Date · Employee · Type · Follow-up Critiques are what turn a drill from an exercise into an improvement. Follow-up is the field that matters — a critique raising an issue with no follow-up recorded means the drill changed nothing. These records also appear under Emergency drills. Same records, surfaced where each team works.

Reviewing contingency arrangements

1

Check every agreement's End date

Anything within 90 days needs renewing.
2

Verify the contact details

Call the number. Confirm the named administrator is still in post.
3

Confirm the backup agency can still take your volume

Their capacity changes as their own caseload changes.
4

Renew and record

Update Start, End, and contacts.

Working drill critiques

1

Collect critiques after every drill

From participants, not just coordinators.
2

Record each critique with its type

Group them to find the themes.
3

Set follow-up on anything actionable

A critique without follow-up is a note, not an improvement.
4

Close the loop before the next drill

Verify the follow-up happened.
Recurring critique themes are good candidates for a QAPI initiative — that is where an improvement with measured follow-up belongs.
